NEST Group LLC, trading as AnimalDesk

Privacy

How NEST Group LLC, trading as AnimalDesk, treats the details you give us on the AnimalDesk website, and the details clinics, shelters and rescues keep in AnimalDesk.

Who we are

AnimalDesk is a trading name (DBA) of NEST Group LLC. In this notice, "AnimalDesk", "we" and "us" mean NEST Group LLC, a limited liability company registered in Wyoming, United States, at 1309 Coffeen Avenue STE 1200, Sheridan, Wyoming 82801, United States. NEST Group LLC decides how the details you give us on the AnimalDesk website are used and is responsible for them. More about the company is at nestgroup.space. Write to us at hello@animaldesk.tech about anything in this notice.

What we collect

On sign-up and our contact form: your name, work email, clinic or charity name, your country, and your message. When you sign up, a password or PIN (we only ever store a one-way hash of it). When you use AnimalDesk: what you enter to run your clinic or shelter, and records of sign-ins and changes, kept for security.

Why we use it, and on what basis

  • To run your account and the services you asked for (trial, live demo, support, a non-profit discount): because you asked us to, and to perform our agreement with you.
  • To reply to an enquiry, and to tell clinics and charities about AnimalDesk after they have asked about it: our legitimate interest in telling clinics and rescues about the product. You can ask us to stop at any time.
  • Counting visits to the AnimalDesk website and keeping the service secure: our legitimate interest in knowing which pages are useful and stopping misuse.
  • Invoices, tax and legal records: because the law requires us to keep them.

Opting out

  • Reply "stop" to any email, or write to hello@animaldesk.tech, and we will stop writing to you. We act on it straight away, and always within 10 business days.
  • Emails you need to use your account (confirmations, invoices, notices) are not marketing and keep coming while you have an account.
  • To stop the visit-counting cookie, block cookies for the AnimalDesk website in your browser; the site still works.

Who handles it

We never sell your details or share them for advertising. A few providers process them for us, only to run AnimalDesk and under contracts that oblige them to keep them safe:

  • Hosting and database: Vercel (United States) runs the site; Turso stores the data in Tokyo, Japan.
  • Email: if you email us, your mail provider and ours carry the message. AnimalDesk sends account, enquiry and demo emails through an email provider (AgentMail or Resend). If a clinic connects its own mailbox, that mailbox provider sends the clinic's emails.
  • Phone alerts: if you turn on alerts, your phone's push service (Apple, Google or Mozilla) delivers them, and sees only the alert text.
  • AI: Anthropic powers the AI features (drafting notes, summaries and answers from your own records). We send only what a feature needs to answer, and a clinic can switch the AI off in its settings. Under Anthropic's commercial terms, content sent through its API is not used to train its models.
  • Sign-in: your username and PIN or password, held by us. We do not use advertising or social sign-in.

Where your details go

Some of these providers store or process details outside the country you are in, including in the United States and Japan. Where the law requires it (for example the EU GDPR or Thailand's PDPA), the transfer is covered by the provider's data processing terms, including standard contractual clauses, so your details keep the same protection.

Cookies

We use a small number of first-party cookies, never advertising or cross-site tracking cookies:

  • Sign-in session: keeps you signed in to AnimalDesk.
  • ad_theme: remembers light or dark on your device.
  • ad_vid: counts pages viewed on the AnimalDesk website, and links them to your enquiry once you send one. It holds a random number, not your name, and it is not shared with anyone. We do not store IP addresses for this.
  • ad_team: set on our own team's browsers so our visits are not counted.
  • Phone app: the installed app keeps a copy of your tasks and animals on the phone so it works without signal, then syncs when the signal returns. It is cleared when you sign out.

How long we keep it

  • Your account and your clinic's data: for as long as the account exists. When you close it, we delete it once you have had the chance to export it.
  • Enquiries: while we are in touch, and deleted when you ask. If you ask us to stop, we keep only your email address on a do-not-contact list, so we never write to you again.
  • Invoices and payment records: for as long as tax and accounting law requires.
  • Security and sign-in records: for a limited period, to investigate misuse.

Animals, owners, finders, volunteers and donors

If you take an animal to a clinic, shelter or rescue that uses AnimalDesk, or you volunteer, donate or report an animal there, that organisation decides how your details are used and is responsible for them. AnimalDesk stores and processes them on the organisation's behalf, only on its instructions, to run its records, rota, field reports and reporting. That can include an owner's or finder's name and phone number, a volunteer's hours and shifts, and the location a volunteer shares when reporting an animal. For anything about your animal or your details, contact the organisation first; we will help them answer you.

Your rights

You can ask us for a copy of the details we hold about you, to correct or delete them, to move them to another service, or to stop using them. Where we rely on your consent, you can withdraw it at any time. Under Thailand's PDPA and the EU GDPR you can also object to, or ask us to restrict, how we use your details, and complain to a data protection authority (in Thailand, the Personal Data Protection Committee). Write to hello@animaldesk.tech; we answer within 30 days. We don't make decisions about you by automated means alone: the AI features only draft, and a person decides.

Keeping it safe

Details travel encrypted, passwords and PINs are hashed, stored credentials are encrypted, and only the people who need access to help you have it. If a breach puts your details at risk, we will tell you and the authorities as the law requires.

Children

AnimalDesk is a tool for organisations and is not meant for children. We don't knowingly collect details from anyone under 16.
